How to use it

  1. Give the event a clear name — it becomes the calendar entry title.
  2. Set the start and, ideally, the end. Tick “All-day event” for festivals, deadlines or trips.
  3. Add the venue and a one-line description if useful.
  4. Scan to check your calendar app offers to add the event, then download.

How calendar codes work

The code contains a VEVENT block in the iCalendar format (RFC 5545) — the same format calendar apps exchange. Phones that support it show an “Add to calendar” prompt; some Android cameras show the text first and offer to add it from there.

Time zones: what you type is what they see

Times are stored as “floating” local times, meaning the event appears at the time you typed, in whatever time zone the phone is in. That’s right for local events, where everyone is in the same place. For an online event with an international audience, state the time zone in the title or description (“19:00 CET”), or link to an event page with the link generator.

Keep it short

Everything you type ends up inside the code, so a long description makes a dense code that needs printing larger. Put the essentials in the event and detailed information on a web page.

Tips

  • Always add an end time — some calendars otherwise create a zero-length event.
  • Pair it with a location code on invitations for directions to the venue.
  • Test on both iPhone and Android before printing invitations.

Questions

Do all phones support calendar QR codes?

iPhones and most Android phones recognise them. A few camera apps only display the text; Google Lens and dedicated scanner apps offer “Add event”.

Can I add a reminder?

Reminders aren’t reliably imported from QR codes; people can add one when saving the event.

Can I change the date after printing?

The date is inside the code, so a new date needs a new code.
